Configure the Convert To Searchable PDF Activity

  1. On the Convert To Searchable PDF wizard’s Welcome page, click Next Page.
  2. On the Settings page, configure the general searchable PDF settings, and then click Next Page.
    Setting Description
    Embed Fonts Enable this option if you want to include font information in the file. This allows people to view the text in the correct font even if it is not installed on their computer, but also increases the file size.
    Embed Index Values With Keywords The indexing values assigned to this document will be automatically included as keywords. Keywords are properties stored within the PDF document and are accessed by viewing the document’s properties from Adobe Reader.
    Generate PDF/A If selected, the resulting PDF will be formatted according to the PDF/A standard, which is more suited to long-term archival than a standard PDF.
    Write Hyperlinks If this is selected, hyperlinks will be retained in the resulting PDF file. Users will thus be able to click hyperlinks to navigate to the specified location.
    Compress Images Reduces the file size by 30 - 50%. Doing this also decreases the quality of the document.
    Write Tagged PDF Determines if the recognized text should be exported to tagged PDF. Tagged PDF files are important for the visually impaired. If your documents are required to be accessible for the visually impaired, select this option for best results. Selecting this will likely increase the file size of the completed PDF file.
  3. On the Document Properties page, specify any properties to populate in the PDF, and then click Next Page.
  4. On the Encryption page, if you want to encrypt the PDF files, select Enable Encryption, and then configure the encryption settings.
    Encryption Setting Description
    Owner Password Type the password to access the document owner permissions, which include the right to view the PDF and modify permissions.
    User Password Type the password to access the document user permissions, which include the right to view the PDF but not to modify permissions.
    Assembly Enable this option if you want to allow users to assemble documents, which includes inserting, rotating, or deleting pages and creating bookmarks and thumbnail images.
    Extraction Enable this option if you want to allow users to extract text and images from the document.
    Printing Enable this option if you want to allow users to print the document.
    Modification Enable this option if you want to allow users to modify the document’s contents.
    Key Length Sets the length of the encryption key. The larger the bit size, the stronger the encryption.
  5. When you have finished configuring the encryption settings, click Save Settings.
